Our Data Protection Officer is John Brownhill. You can contact him using the details above if you have any questions about this notice or how we use your personal information.
This notice principally covers people who visit our website, contact us about our services, request a consultation or other information, receive marketing from us, or communicate with us in a business context.
Where we process personal information as part of a client engagement, additional contractual or project-specific arrangements may also apply.
What personal information we collect
The information we collect depends on how you interact with us.
When you contact us, request a consultation or submit an enquiry, we may collect information including:
-
your name;
-
job title and organisation, where provided;
-
business email address;
-
telephone number;
-
information you include in your enquiry or message; and
-
your marketing preferences.
We may also collect technical information required to operate, protect and secure our website, such as your IP address, device and browser information and information generated by essential website security or anti-spam technologies.
Please avoid including sensitive or special category personal information in general enquiry forms unless it is necessary and appropriate for your request.
How we use your personal information
Responding to enquiries and consultation requests
We use the information you provide to respond to your enquiry, arrange consultations, understand your requirements and communicate with you about services that may be relevant to your request.
Details submitted through our website are added to our customer relationship management system so that we can manage enquiries, communications and follow-up activity.
We generally rely on our legitimate interests in responding to enquiries and managing prospective business relationships.
Where you are entering into a contract with us as an individual, processing may also be necessary to take steps at your request before entering into a contract or to perform that contract.
Managing client relationships
If you become a client, we use relevant personal information to provide our services, manage the relationship, communicate with you, maintain appropriate business records and meet our contractual and legal responsibilities.
Depending on the circumstances, we may rely on performance of a contract, compliance with legal obligations or our legitimate interests in operating and protecting our business.
Email marketing
If you choose to receive marketing emails from us, we use your contact details to send useful HR insights, practical advice and occasional news or updates from People & Technologies.
We rely on your consent for this activity.
Marketing consent is optional and is collected separately from information required to submit an enquiry.
You can withdraw your consent at any time by using the unsubscribe option in our emails or by contacting us.
Withdrawing marketing consent will not affect an enquiry, consultation or other service you have requested.
Operating and protecting our website
We may process technical information where necessary to operate our website, protect it against spam, fraud or misuse, diagnose problems and maintain the security of our systems.
We rely on our legitimate interests in operating a secure and reliable website.
Legal and regulatory purposes
We may process or retain personal information where necessary to comply with legal obligations, respond to lawful requests, protect our legal rights, or establish, exercise or defend legal claims.
Providing your information
Where a website form marks information as required, we need that information to process the particular request.
If you do not provide required information, we may be unable to respond to your enquiry or provide the requested consultation or service.
Marketing consent is never required in order to submit an enquiry or request our services.
Cookies and similar technologies
Our website uses essential technologies where necessary to operate securely and provide its functionality. This includes technologies used to protect website forms against spam and abuse. We do not currently use cookies for website analytics or advertising.
If we introduce analytics, advertising or other non-essential technologies in the future, we will update this notice and provide any choices required by law.
Who we share personal information with
We may share personal information where necessary with organisations that help us operate our business, including:
-
customer relationship management and communications service providers;
-
website hosting, maintenance, security and anti-spam providers;
-
IT and technical support providers;
-
professional advisers, such as accountants, lawyers and insurers; and
-
regulators, courts, law enforcement bodies or other public authorities where disclosure is required or permitted by law.
Where another organisation processes personal information on our behalf, we require it to handle the information appropriately and only for authorised purposes.
We do not sell personal information.
International transfers
Some of the technology providers we use to manage enquiries and business communications process personal information outside the United Kingdom.
Where this involves a restricted international transfer, we require the transfer to be protected in accordance with UK data protection law.
Depending on the destination and circumstances, this may involve UK adequacy regulations or appropriate contractual and other safeguards recognised under UK data protection law.
You can contact our Data Protection Officer if you would like further information about the international transfer safeguards applicable to your personal information.
How long we keep personal information
We keep personal information only for as long as it is reasonably required for the purpose for which we collected it.
Our standard retention periods are:
Enquiries and prospective clients
If an enquiry does not result in a client relationship, we normally retain the enquiry and associated correspondence for 24 months after our last meaningful contact.
This gives us a reasonable period to respond to follow-up enquiries and maintain continuity where discussions resume.
Client records
Where an enquiry develops into a client relationship, relevant client, contractual and project records are normally retained for six years after the end of the client relationship.
We may retain particular information for longer where a legal, regulatory, tax, contractual or claims-related requirement applies.
Email marketing
Where you have consented to email marketing, we retain your marketing contact information while your consent remains valid.
We review marketing permissions at least every 24 months and will refresh or cease marketing where appropriate.
If you withdraw your consent or unsubscribe, we stop sending marketing communications and may retain the minimum information necessary on a suppression list so that we can continue to respect your preference.
Website security information
Technical information retained specifically for website security, fraud prevention or anti-spam purposes will normally be retained for no longer than 12 months, unless it is needed for longer to investigate a security incident, resolve a dispute or meet a legal requirement.
We periodically review the personal information we hold and delete or anonymise information when there is no longer a justified reason to retain it.
Your rights
Depending on the circumstances, UK data protection law may give you the right to:
-
request access to your personal information;
-
have inaccurate or incomplete information corrected;
-
ask us to delete your personal information;
-
ask us to restrict how we use your information;
-
object to certain uses of your information;
-
receive certain information in a portable format; and
-
withdraw consent where we rely on consent.
You have an absolute right to object to the use of your personal information for direct marketing.
Not every right applies in every situation. If you make a request, we will assess it in accordance with applicable data protection law.
